Situational Emergency Plan Templates MEDIA
PROCEDURE
Procedures
1. Immediately contact the Superintendent's
Office any time a situation has
the potential of generating media coverage
or if the situation may generate rumors within the
community.
2. When the media
personnel arrive on scene have a staff member
escort them to a designated briefing area. All
information will be released at this location. Make
sure that a staff member is stationed in the
designated area at all times.
3. During a crisis
situation, all media inquiries shall be routed to
the Superintendent or designee, who shall prepare
and update an official statement responding to the
particular situation as events unfold.
4. If contacted by
a media (news) person, photographer or camera crew,
do the following:
a. Tell them that the answers to their questions
will be obtained and that
the Superintendent's Office is gathering facts and
will be issuing a news releases as soon as
possible.
b. Record the following information for the
Superintendent's Office:
1. Reporter's Name
2. Name of newspaper, TV or radio station
3. Telephone and Fax numbers
4. List of questions to be answered
5. Deadline for news release
General
Continually update the Superintendent's Office
with the most current information as the facts are
gathered.
The district's goal is to position itself as the
primary source for credible information for the
media, parents and citizens of the community.
If in doubt about whether or not the situation
may generate media coverage and/or rumors, contact
the Superintendent's Office.
